Spreading the Word
  • Develop a media mailing list and update it at least once a year (professionals, update their lists each time they are used). Get names, addresses, and phone numbers of local daily and weekly newspapers from the Yellow Pages. Call the newspapers and get the names of the city editor, editorial page editor, and the reporter who covers the issues pertaining to your subject. Also list the news and public affairs shows on local radio and television stations and obtain their addresses and phone numbers. Add the names of any reporters with whom you come into contact.


  • Send out a news release to people on your media mailing list about the work of your organization, the event, or activity. Include literature about your organization, event or program and the names and phone numbers of contacts. News releases can be used to announce program events, significant achievements and awards given or received, or to suggest human-interest story ideas.


  • Provide Public Service Announcements (PSAs) to newspapers, radio, and television stations to get the word out about your program and need for support. Ask the media's community service departments to publicize your program's events and services.


  • Identify a spokesperson from your organization that can be available for interviews with reporters. Let the media know the name, address, and telephone number as well as what information the spokesperson can provide.


  • Write an article on the accomplishments of your organization and submit it to your local newspapers for use as a feature article or opinion piece. Send a letter to the editorial page editor requesting an editorial on the program/activity in your community. Send along background information and see if you can schedule a meeting to discuss the subject.


  • Draft a resolution to be signed by your governor, mayor, or city council proclaiming a special day for the event/person or organization. Make sure the local press is notified when a proclamation is issued. The signing of the proclamation can make a great photo opportunity.

Reaching out to the media is easier than you might think and can produce important results. Remember, confidence comes with experience. Keep a list of your media contacts and routinely update them!
